Manage your NACHA files

Upload NACHA files, track them in the listing, drill from file to batch to transaction, take actions, and review error reports.

This page walks through managing NACHA files in the portal, organized by the task you're doing: uploading a file, tracking it in the listing, drilling into its detail, taking actions, and reviewing error reports. For file format rules and validation, see the NACHA file reference.

Open NACHA File Management from the navigation menu (top-left panel). The listing screen opens by default.


Upload a file

You can upload NACHA files through the Customer Portal or by dropping them into your configured SFTP directory.

Click Upload File on the top right of the listing page. In the Upload NACHA File popup:

  • Enter an External Reference (optional) to map the file back to an internal system such as an ERP batch ID or payroll run ID.
  • Click Select File to browse and choose the NACHA file from your device.
  • Click Upload to submit.

Passport validates the file immediately. If it passes all checks it moves to Received; if validation fails it's marked Rejected and a consolidated error report is made available. See the reference for what's validated.


Track files in the listing

The listing is the central dashboard for all NACHA activity. It's paginated and sorted by upload date (descending) by default.

Listing columns

File IDUnique identifier assigned by Passport, used for traceability and support.
Ext ReferenceOptional external reference provided at upload, mapping the file to your internal system.
Batch(es)Total number of batches parsed from the file.
EntriesTotal number of individual ACH entries across all batches.
Total DebitsAggregate of all debit transactions in the file.
Total CreditsAggregate of all credit transactions in the file.
StatusCurrent lifecycle state of the file. See file statuses.
Uploaded OnDate and time of upload, in the program timezone.
Uploaded ByName of the user who uploaded the file.

Search — Use the search box at the top of the listing. Choose the parameter from the dropdown: File Name, File ID, or Ext Reference (default).

Filter — Click Filters (top right) to narrow the grid by Status, Uploaded On (date range), Total Debits, or Total Credits. The count of active filters appears next to the button.

Sort — Click the arrows beside any column to toggle ascending or descending order.


Drill into a file

Choose View File from a file's actions to open the File Detail screen: a summary at the top and a batch listing below.

The file summary shows the file name, total batches and transactions, total debits and credits, current status, and the upload date/time and user.

The batch listing below lists every batch parsed from the file:

Batch NumberUnique identifier from the NACHA batch header, used with banks and operations teams.
DescriptionThe Company Entry Description from the file (e.g. PAYROLL, VENDORPAY).
SEC CodeStandard Entry Class code for the batch (e.g. CCD, PPD, WEB). See supported SEC codes.
EEDEffective Entry Date — when the batch's transactions are intended to post.
Entry CountTotal ACH entries in the batch.
Total DebitsTotal debit amount for the batch.
Total CreditsTotal credit amount for the batch.
StatusCurrent processing state of the batch (independent of the file status).

Batch statuses

StatusMeaning
ReceivedPassed all checks and ready for processing.
CancelledCancelled by the user before processing began.
ProcessingCurrently being processed.
ProcessedAll transactions in the batch processed successfully.
FailedCouldn't be processed, typically due to insufficient balance or a limit breach. Hover to see the reason.
PendingTemporarily blocked. Hover to see the reason, such as low balance or exhausted risk limits.

Batch entries and transaction lineage

From a batch, choose View Entries to open the batch detail page: a batch summary followed by all entries in that batch. You can search entries by Customer Trace No. or Transaction ID without leaving the page.

For a processed entry, a Transaction ID is shown; click it to open the transaction detail. A NACHA Information section provides complete lineage back to the source file:

  • File Name
  • Batch Name
  • Batch Number
  • SEC Code
  • Effective Entry Date (EED)
  • Trace Number
  • Individual Identification Number

This chain from transaction → batch → file is what you use for operations investigations, support queries, and audit or compliance reviews.


Take actions

Click the three-dot icon at the end of any file row (in the listing) or batch row (in file detail). The available actions depend on the current status.

Cancel a file or a batch

You can cancel only while the item is in Received status — once it moves to Processing, it can no longer be cancelled.

  • Cancel a file — On the listing, choose Cancel File from the file's actions. On confirmation the file moves to Cancelled and becomes immutable; no further actions can be taken.
  • Cancel a batch — In File Detail, choose Cancel Batch from the batch's actions. On confirmation the batch moves to Cancelled, and the remaining batches in the file continue to process as normal.

Review error reports

When a file is Rejected, choose View Error Report from its actions. The report presents every validation issue in a single consolidated view — rather than one at a time — so you can fix everything before re-uploading. You can also download the error details report.

Correct the issues in your source file and upload it again as a new file. Passport treats the corrected file as a fresh upload and validates it independently — there's no way to edit or resubmit a rejected file in place. For what's checked, see the NACHA file reference.
